    SUMMARY: The Financial Services Administrator will be a key team member responsible for performing a broad range of transactional accounting activities and analysis to support operations of the company. This role requires excellent customer service, communication, and problem-solving skills.


    ESSENTIAL FUNCTIONS AND PRIMARY RESPONSIBILITIES: To perform this job successfully, a qualified individual must be able to satisfactorily perform the following essential functions of this position with or without a reasonable accommodation:


    • Performance of a wide array of detailed accounting transactions and functions encompassing AP/AR, cash applications, research accounting, journal entries, reconciliations, and financial reporting
    • Liaison with internal customers and outside customers such as banks and other financial institutions, as required, to exchange information, obtain clarifications and/or explanations, and/or problem solve
    • Work with fellow team members to ensure all queries are dealt with in a timely fashion.
    • Run standard accounting reports as required for month-end, year-end, audit functions including analysis, standard entries, correcting adjustments, reconciliations and reporting
    • Maintain files and filing systems (hard-copy and electronic) as per departmental and company retention policies
    • As a member of the Finance department, maintains confidentiality of financial information. 
    • Monitor customer credit lines to ensure that all customers remain within approved credit limits and credit terms
    • Monitor carrier database to ensure that all carriers remain compliant with company guidelines
    • Apply customer payments to accounts, and prepare bank deposit daily
    • Add approved suppliers/customers to the address book in Great Plains, and update customer number in Transportation Management System
    • Work with third party software partner to ensure that invoices are processed for the correct amounts and distributed in a timely manner
    • Work with credit insurance provider to ensure that claims for non-payment are filed in a timely manner, and appropriate bad debts expense is recorded
    • Review expense reports to ensure that expenses are recorded properly in the correct accounting period and expenses are paid in accordance with company policy
    • Work with third-party freight claims provider to ensure that claims are filed timely and all documentation is received
    • Other duties related to the above that may be assigned as needed


    JOB DESCRIPTION: The requirements listed below are representative of the education, experience, skills and/or abilities required for this position. An individual must meet the minimum requirements as listed.



    • Bachelor’s Degree in Accounting preferred, but not required


    • Experience in a finance environment processing a broad range of transactional entries (journal entries, accounts payable/receivable, daily cash position and cash transactions), completing analysis and reconciliations and preparing and submitting reports is considered an asset
    • Previous Great Plains experience expertise is preferred, but not required
    • Previous freight brokerage experience preferred, but not required


    • Strong MS Office computer skills, particularly in Microsoft Excel
    • Ability to work well independently, occasionally with minimal supervision, and as part of a team.
    • Ability to consistently follow existing processes, develops new processes, and maintains required standards, and work with the team to improve them
    • Strong communication skills and problem-solving skills essential; ability to work well with a wide range of staff and external contacts is absolutely critical

    PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The work is a combination of mobile and sedentary type functions. Typically, the employee may sit comfortably to do the work. However, there may be some movement from area to area, including transportation of items such as a laptop computer, etc. The employee must occasionally lift and/or move up to 25 pounds. While performing the duties of this job, the employee is frequently required to stand, walk, sit and reach with hands and arms, use hands to finger, handle, or feel objects, tools, or controls and talk or hear. Additionally, the employee is occasionally required to climb stairs; balance; stoop, kneel or crouch.

    WORK ENVIRONMENT: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
